With the gradual rollout of Enterprise Vault, the dreaded state of “email jail” will soon be a thing of the past. Now through summer 2014, BWH employees will move to the new system, which will enable users to access and manage email without worrying about storage quotas. More than 1,200 users are scheduled to move to Enterprise Vault each week.
BWH Bulletin sat down with BWH Deputy CIO Catherine McGoldrick Schroeder to learn more about the upgrade.
What is the reason for switching to Enterprise Vault?

How will this affect Partners email users?
Enterprise Vault helps you manage your mailbox so you no longer have to worry about exceeding your mailbox quota—no more email jail! You’re also able to access mail stored in Personal Folders using Outlook Web Access (OWA). Watch an overview video.
Will email users still manage their email through Outlook?
Enterprise Vault is an addition to Outlook and not a replacement. You can continue to use Outlook at work or Outlook Web Access from home as you normally do.
Will Partners email users lose any email messages?
Enterprise Vault securely saves your email for 10 years. Anything older than 10 years will be permanently deleted. Also, everything in your “Deleted Items” folder will be automatically deleted after seven days. View all email settings.
What is the timeline for getting Enterprise Vault?
The rollout began on June 5 and is slated to run through summer 2014. It’s a lengthy implementation process because we have 80,000 Outlook users across all Partners sites, as well as a large amount of mail stored in Personal Folders.
When can individual users expect to be updated?
All new employees are automatically set up with Enterprise Vault. Existing employees will receive an email message eight days before their migration date, which provides details about the process and a link to a training video. Is there anything users have to do before being switched?
If you use Personal Folders, make sure they are located on your Home drive. You can watch a video or print a guide to help you confirm the location of your Personal Folders. Also, be on the lookout for the email message, which will contain specific instructions and your email migration date.
Is there anything users have to do after they are switched over?
You’ll need to review your folder list to make sure that all of your Personal Folders are displaying. Then, continue to work in Outlook as you normally do. Learn more.
Will the Microsoft Outlook interface be changing?
There are few new icons that will display on your Outlook toolbar. These will help you manage the mail in your Vault. Messages that are older than two months will also look slightly different since they display a different mail icon. You can still read, reply and forward these messages as you have done in the past. How is the migration process going so far?
The migration is going according to plan, with minimal issues. Generally, it’s been a positive and welcome change since email jail is no longer an obstacle.
